When you leave Careerpilot to complete an application on an employer’s website or Applicant Tracking System (such as Workday, iCIMS, Greenhouse, Lever, Oracle Recruiting, SAP SuccessFactors, or similar platforms), the employer and its technology providers become responsible for the collection and processing of your information under their own privacy policies.

4. Definitions

- Applicant Tracking System (ATS) means a third-party recruiting platform used by employers to manage hiring activities.
- Authentication is the process of confirming that an individual is the legitimate owner of an account or application through methods such as One-Time Passcodes (OTPs), email verification, phone verification, identity verification, device validation, and other security measures.
- Candidate means an individual who creates an account, applies for employment, completes an assessment, or otherwise uses Careerpilot’s Services to seek employment.
- Employer means an organization, recruiter, staffing agency, or other business using Careerpilot’s Services to recruit or evaluate candidates.
- Interview Ready means Careerpilot’s verification program that may include one or more verification signals, including identity verification, authentication status, completed skills assessments, competency evaluations, profile completion, or other verification indicators. Interview Ready status does not guarantee employment or an interview.
- Personal Information means information that identifies, relates to, describes, or can reasonably be linked to an identifiable individual, as defined under applicable privacy laws.
- Skills Assessment means any evaluation, examination, questionnaire, simulation, knowledge assessment, competency assessment, behavioral assessment, or similar activity offered through Careerpilot.
- Verification Information means information generated through authentication, identity verification, fraud detection, security validation, skills verification, competency scoring, or related verification services.

Employers remain solely responsible for evaluating candidates and making hiring decisions.

Careerpilot uses artificial intelligence (“AI”), machine learning, statistical models, and other automated technologies to improve the Services we provide.

Careerpilot does not use artificial intelligence as the sole basis for making employment decisions.
Careerpilot does not automatically reject candidates based solely on AI-generated scores, assessments, resumes, or profile information.

Careerpilot continuously evaluates its automated systems to improve fairness, reduce bias, enhance transparency, and improve overall platform performance.
G. Fraud Prevention & Platform Integrity
Protecting the integrity of our platform is a core function of Careerpilot.

When you apply for a position through Careerpilot or otherwise authorize an employer to access your profile, we may share information necessary to facilitate the recruiting process.
Depending on the application workflow and your activity, employers may receive:

Employers determine how they use information received through Careerpilot and are independently responsible for complying with applicable privacy and employment laws.
B. Hosted Apply Applications
Some employers choose Careerpilot’s Hosted Apply solution.
For Hosted Apply positions:
Careerpilot collects and processes your application directly through our platform, then securely transmits the completed application package to the employer or its recruiting systems.
Hosted Apply submissions may include:

Careerpilot may retain copies of Hosted Apply submissions to provide application history, customer support, dispute resolution, fraud prevention, compliance, and other legitimate business purposes described in this Privacy Policy.
C. Redirect Apply & Applicant Tracking Systems (ATS)
Certain employers require candidates to complete all or part of the application process using their own Applicant Tracking System (“ATS”).
In these situations, Careerpilot may authenticate the applicant, collect limited application information, or facilitate the transition to the employer’s application before redirecting the candidate to the employer’s ATS.
Examples of Applicant Tracking Systems include, but are not limited to:

Once you leave Careerpilot and begin interacting directly with an employer’s ATS or website, Careerpilot no longer controls the collection, use, retention, or disclosure of information submitted directly to that employer or ATS.
We encourage you to review the employer’s privacy policy and the applicable ATS provider’s privacy practices before submitting information through those systems.
D. Job Distribution Partners
Careerpilot distributes employment opportunities through recruiting networks, publishers, job boards, aggregators, advertising platforms, and strategic partners.
Depending on the recruiting campaign, Careerpilot may share limited information necessary to:

Careerpilot does not provide full candidate profiles to distribution partners unless required to support a recruiting workflow authorized by the employer or the candidate.

If you choose to participate, authorized employers may view information including:

You may modify your visibility settings or withdraw from Careerpilot-managed talent pools through your account settings, subject to limitations for applications already submitted to employers.
Leaving a talent pool does not affect information previously shared with employers during an active application process.

Where applicable privacy laws define “sale,” “sharing,” or “targeted advertising” differently, Careerpilot honors applicable consumer rights described later in this Privacy Policy.
M. International Transfers
